Schedule/start meetings from Microsoft Outlook

The Lifesize Microsoft Outlook Add-in is only available for Microsoft Windows PCs and requires a Microsoft Outlook 2010 or higher client.

On the Lifesize download page, click Lifesize Microsoft Outlook Add-In and follow the setup wizard instructions. You may be prompted to close and restart Microsoft Outlook.

NOTE: If you receive an error during installation and have an older version of the Lifesize add-in, uninstall the older version, and re-install the latest version.

Sign in/Sign out

To sign in or sign out of your Lifesize app, click the App Launcher in the lower right-hand corner of the Lifesize app box on the Outlook Home ribbon. If you use single sign-on (SSO), follow the sign on prompts. 

Schedule a meeting

Choose to send an invite for a meeting to call you directly, schedule an existing permanent meeting, create a new permanent meeting, and if enabled, send a one-time meeting invite.

To schedule a meeting to call you directly:

  1. On your Outlook Home ribbon, click the Lifesize buddy icon buddy word or select Schedule Meeting > Invite to call me directly to create a meeting automatically populated with your information.
  2. Enter the email addresses for your meeting invitees.
  3. Click Send.

To schedule a meeting with an existing meeting room:

  1. On your Outlook Home ribbon, select Schedule Meeting > Choose a place to quickly create a meeting invitation for an existing Lifesize meeting room.
  2. Start typing the name of the meeting or room system and select it from your directory list.
  3. Optional: Add customized text by selecting Include a custom message. You can edit this text when you create your meetings.
  4. Click Next.
  5. Enter the email addresses for your meeting invitees.
  6. Click Send.

To create and schedule a new meeting room:

  1. On your Outlook Home ribbon, select Schedule Meeting > Create a new meeting to create a meeting invitation.
  2. Enter a meeting name and type in the name of the moderator. The moderator can remove participants as well as mute and unmute all participants in a meeting.
  3. Optional: Set other meeting options:
    • Set a numeric passcode to join the meeting. You can increase security by including a passcode to join. The passcode is automatically included in email and calendar invitations. All participants must enter a 4-10 digit numeric code to join the meeting. NOTE: Group chat is not available in meeting rooms using a passcode.
    • Add a meeting description. Enter up to a 200 character description of the meeting. 
    • Choose a lecturer. Type in the name of the person you wish to assign as a lecturer. Participants can see the main speaker but not one another. The lecturer can remove participants.
    • Click Save.
    • Select Schedule Later to save the meeting information or select Schedule Now to proceed with scheduling the meeting.
      1. Optional: Add customized text by selecting Include a custom message. You can edit this text when you create your meetings.
      2. Click Next.
      3. Enter the email addresses for your meeting invitees.
      4. Click Send.

Start a meeting

  1. Click video-rain Start Meeting. Enter your log in information if you are not signed in to the Lifesize app. The Lifesize desktop opens if it is installed, if not, the Lifesize web app opens. 
  2. Start typing and select the contact name from the list, or enter the calling details for someone not in your directory using any of the following formats:
    • IP address (IPv4 or IPv6)
    • IP address and extension 
    • Video address 
    • Lifesize extension 
  3. Click video-rain  Start with Camera On or audio-call-rain Start with Camera Off. If you start a call with video off, you can turn video on after you join the call.

NOTE: Click Pre-call Camera and audio check to verify that your microphone and camera are working properly.
