Schedule meetings from Microsoft Outlook

The Lifesize Microsoft Outlook Add-in is available for Microsoft Outlook, Mac, and Office 365 and requires a Microsoft Outlook 2010 or higher client.

Install for your organization

To centrally deploy the Lifesize Outlook Add-in for all users in your organization, you must be a Microsoft 365 Admin and you can find the process here.

Deploy to on-premises Microsoft Exchange

Administrators of Microsoft Exchange 2013+ can follow a similar process to deploy the add-in, but will need to use the manifest URL, rather than searching for the add-in in Admin center or AppSource:

  1. Log in to the Exchange Admin Center (EAC) and select Organization > Add-ins.
  2. Select the add icon (+) and then Add from URL.
  3. Enter https://outlook.lifesizecloud.com/outlook.xml
  4. Double-click the Lifesize add-in to edit it.
  5. Select Make this add-in available to users in your organization.
  6. Select either Optionally, enabled by default or Mandatory, always enabled.

Install for yourself

  1. Navigate to Office 365 web version (https://www.office.com/)
  2. Click the Outlook app. NOTE: Make sure that you have Try the New Outlook option disabled.
  3. Click the gear icon and select Manage add-Ins.
  4. Click My Add-Ins
  5. Search for the Lifesize app on the Microsoft App Store.
  6. Click Add.

NOTE: You should remove the previous Lifesize VSTO plug-in, if you have it installed.

Schedule a meeting

Choose to send an invite for a meeting to call you directly, create a new permanent meeting, and if enabled, send a one-time meeting invite.

To schedule a meeting with an existing meeting room:

  1. On your Outlook Home ribbon, select buddy wordSchedule Meeting.
  2. Start typing the name of the meeting or room system and select it from your directory list.
  3. Optional: Add customized text by selecting Include a custom message. You can edit this text when you create your meetings.
  4. Click Next.
  5. Click Invite Attendees and enter the email addresses for your meeting invitees.
  6. Click Send.

To create and schedule a new one-time meeting room:

  1. On your Outlook Home ribbon, select buddy word Schedule Meeting.
  2. Click in the Choose a place for participants to call field and then select New one-time meeting.
  3. Enter a meeting name and type in the name of the moderator. The moderator can remove participants as well as mute and unmute all participants in a meeting.
  4. Click Next.
  5. Optional: Add customized text by selecting Include a custom message. You can edit this text when you create your meetings.
  6. Click Next.
  7. Click Invite Attendees and enter the email addresses for your meeting invitees.
  8. Click Send.

To schedule a meeting to call you directly:

  1. On your Outlook Home ribbon, select buddy word Schedule Meeting.
  2. Click in the Choose a place for participants to call field and then select Call me directly to create a meeting automatically populated with your information.
  3. Optional: Add customized text by selecting Include a custom message. You can edit this text when you create your meetings.
  4. Click Next.
  5. Click Invite Attendees and enter the email addresses for your meeting invitees.
  6. Click Send.

To send a Quick Invite:

  1. On your Outlook Home ribbon, select  Quick Invite. This creates an instant meeting link if you have this feature enabled, if not, it creates a Call me directly link.
  2. Click Invite Attendees and enter the email addresses for your meeting invitees.
  3. Click Send.
