For most businesses, meetings are where ideas come to life, problems are solved, important information is shared and decisions are made. Unfortunately, much of the information exchanged in these meetings is lost immediately after the meeting is over. Studies show that within one hour of the meeting, employees forget up to half of the information presented. Within 24 hours, they have forgotten an average of 70 percent, and within one week as much as 90 percent of information shared during meetings is forgotten. That’s why a growing number of enterprise companies now record their meetings as a standard practice.

Lifesize Record and Share makes it remarkably easy to capture and share important meetings, 1:1 conversations, company events, trainings and all-hands presentations. Meeting attendees can then use the recording as a reference or to listen back for important details that they missed during the discussion. Additionally, recorded calls can be viewed by team members who were not able to dial into the live meeting due to scheduling conflicts, keeping everyone up to date and informed.

Voted Office MVP: How Conference Call Recordings Help Your Company

The uses for recording and sharing meetings are unlimited. This list isn’t comprehensive, but you can use it for inspiration when thinking about ways your meeting recordings can help you and your team stay informed and productive.

Keep absent employees up to date

If an employee misses a meeting due to illness or a scheduling conflict, you can share a recording of the meeting to keep them informed and up to date. There is no need to rely on coworkers to fill absent employees in on the details of the meeting after it’s over.

Town halls and corporate announcements

Record high-level executive communications like town hall meetings and corporate announcements and share the recording after the meeting to ensure all employees are on the same page. You can also easily share important announcements with partners and clients outside your company.

Sales training and demonstrations

Sales trainings and demonstrations can be recorded for employees who were not able to attend the live session as well as all future sales employees. Additionally, the recordings can be reviewed to help improve and fine tune your company’s sales training process.

New-hire orientation

Instead of doing a time-consuming new-hire orientation for every new employee, record one orientation and have new hires review the recording in the future at a time that works best for them.

Education and distant learning

Record educational classes for future use. This will allow individuals who could not attend the live class to still participate in the program. Additionally, the meeting playback aids in studying and exam preparation.

Searchable archive for projects

A searchable meeting archive provides full historical context for ongoing or past projects. Use the recordings to review projects, accelerate ramp-up time for new project team members or as a template for future projects.

Legal and documentation

Meeting recordings are great for capturing depositions, testimonies, important decisions and verbal agreements. If there are discrepancies about what was discussed in a meeting or someone has gone back on a verbal agreement, you will have a recording of the call to refer back to for clarification and legal purposes.

Conclusion

Recording important meetings and immediately sharing the conversation with others inside and outside your organization keeps everyone informed and on the same page.
